Partial & Full Service Planning Process Expectations


Below is our six phase wedding planning process for our partial and full service clients.

This serves as an expectations guide however, because each wedding is unique, we tailor our approach for each client.


Phase I: Establish your Budget & Wedding Day Theme

Consultation 1 & 2: we aim to establish your budget and theme.

As a budget minded company, we do our best to keep your costs low while also achieving your wedding day vision. We use your “Budget” tab in your project portal to set a realistic budget for each desired wedding day service.

We reference our Blog “How to set a Wedding Budget” to show you the low and high ranges couples typically spend on local wedding professionals.

We invite you to fill out our “Wedding Day Priorities” Note to describe your vision, priorities, and theme.


To establish your wedding day theme we establish your Color Pallet & Design Inspiration

We invite you to share the color pallet, floral, tablescape, station design elements, and hair & makeup you are inspired by. We offer two efficient ways to share these visual elements:

1) by uploading inspiration you have already saved or ‘pinned’ into your Design Studio. Or

2) by previewing, commenting, and curating within the “Design Studios” which showcases our past work and future inspirations.

We discuss your likes and/or dislikes within your “Design Studio” as well as the best path forward to achieve your desired ‘look’.

We utilize our templated “Floral Needs”, “Tablescape Design” and “Personal Decor List” notes to identify the services, design, and quantities needed for your wedding day.

Your curated “Design Studio” and service detail “Notes” can be shared with Floral, Rental, and Hair & Make Up businesses to receive timely and accurate quotes for services.


Phase II: Securing Primary Vendors

Consultations 3, 4 & 5: we aim to present and secure your primary vendors: Catering, Photography, Floral, Entertainment, Officiant, Dessert(s), Hair & Make Up, Stationary, and Transportation.

With our robust database of all of the local industry professionals, we present vendors that match to your budget and vision. We store vendor contact information, brochures, pricing, and direct experience with each vendor.

For partial planning clients, you are invited to reach out to vendors to secure services.

For full planning clients, we reach out on your behalf to secure the vendor, review the contract, document the service expectations, pay the deposit, manage the invoice payment schedule, and reconcile invoices to your budget.

As vendors are secured, we update your timeline based on the expected needs of your wedding day and vendor needs. Several smaller personal details that make your day special and discussed at this point.


Phase III: Decor & Design

Consultations 6 & 7: we aim to finalize your decor and design.

While decor and design is discussed throughout the planning journey, we prioritize these plans after your primary vendors are secured.

We utilize your “Design Studio”, our templated “Personal Decor” Note, and your venue “Layout” to discuss, curate, and document each item of decor respective to the station/location at your wedding venue.

We encourage personalized touches that make your wedding meaningful to you and share your unique love story. Curation of decor typically takes place in the form of acquisition or rentals.


Phase IV: Ceremony Processional & Timeline Development (~45 days out)

Consultations 8 & 9: we aim to finalize your ceremony processional and wedding day timeline

Your timeline is continuously updated throughout the planning journey, since it serves as our playbook for your Big Day; however we prioritize the smaller details of your wedding date at the 6 - 8 week mark once guest count can be assumed.

Your ceremony timeline provides us the processional order and detailed account of the order of operations. We utilize our templated guides to review and document your ceremony preferences so that we can guide you effectively as well as lead your wedding rehearsal.

The details within the timeline ensure smooth transitions and accountability for each responsible party.


Phase VI: Confirmations (~30 days out)

Consultation 10: we confirm the timeline, logistics, and wedding day expectations with up to 11 vendors.

We document vendor interactions and service level expectations in your timeline and contact cards for full transparency.

Your final session is about one week out from your Big Day and serves as a catch all to discuss the many moving parts of your wedding day experience.


Additional confirmations or consultations can be added on for our additional hourly rate. Full planning clients receive up to 6 extra sessions based on the task management and execution we perform during each phase of the wedding planning journey.
